Introducing TRAX: The Ultimate Student Tracking System

Introducing TRAX: The Ultimate Student Tracking System for K-12 Success

In today's fast-paced educational landscape, tracking student progress, engagement, and success is more important than ever. Whether you're managing a mentoring program, social-emotional learning (SEL) sessions, or academic tutoring, keeping track of student data can be overwhelming. That's why TRAX by Teach Tech U was designed—to simplify and enhance how education programs monitor student achievement, attendance, and growth in one streamlined system.

                                      What is TRAX?

TRAX is an innovative student tracking system built specifically for K-12 education programs that need to efficiently manage and assess student progress. It provides real-time data tracking, ensuring that every aspect of a student’s academic and social development is monitored and optimized for success.

                          Why TRAX? The Problem It Solves

Many educational programs struggle with:

  • Disorganized Data – Manually tracking student progress in spreadsheets or multiple platforms is time-consuming and prone to errors.
  • Lack of Visibility – Educators, mentors, and administrators often lack a centralized way to see student engagement, academic growth, and social-emotional development.
  • Inconsistent Communication – Parents, educators, and program coordinators need clear, real-time updates to ensure every student is receiving the support they need.

With TRAX, all student interactions, from academic performance to SEL sessions and mentoring, are tracked in one user-friendly system—allowing for better decision-making, improved communication, and enhanced student outcomes.

                                    Key Features of TRAX

Location and Retention of Missing Students

Many districts desire more innovation, particularly in how they engage students that are disengaged or absent from the classroom to a large extent. Teach Tech U responded to this need by developing immersive hands-on programs designed for all levels of implementation, supervision, and management. By listening to the needs of districts and creating the most functional and innovative methods to solve the dilemmas faced, we have responded to the needs of “pandemic era” education challenges. Allow a representative to explain more about the program and how your district can receive training to implement Project LEAR with your own staff, or to utilize Teach Tech U support to manage and run the program for you.

What Is Project LEAR?

Founding Principles

Founding Principles

Founding Principles

  • Not a “headhunter” company—relationships come FIRST—students are VALUED.
  • North Carolina-owned business staffed with North Carolina educators and counselors.
  • Team members are relational and present in your community and district.
  • We understand the challenges of high-risk students and the risks to retention and engagement

L= LOCATE

Founding Principles

Founding Principles

  • Using investigative tools, roster lists, PowerSchool, and individual school contacts (counselors, principal, etc.), we locate and inform students of the responsibility to enroll.
  • We utilize GIS mapping to understand location, hubs, trends, and their relationship to base schools.
  • Provide ongoing student location and home visits as needed.
  • We sustain contact with students and guardians by phone, email, and through community events.
  • We locate high unenrollment areas and use canvassers to spread information at community centers.

E= ENGAGE

Founding Principles

A= Activate

  • We establish communication norms with students and parents by using relationship managers.
  • We hold regular program events for parents through Zoom meetings.
  • We send messages via Remind for families with phone services.
  • We send out supportive and promotional mail fliers for families with correct home addresses.
  • We communicate to parents the importance of keeping in contact and providing contact information.
  • We provide parents with an online parent portal (typically Google Classroom) for announcements, questions, community, and feedback.

A= Activate

A= Activate

A= Activate

  • We create a responsibility contract with parents and students. This is both data purposed for program efficiency, and part of the goal of student accountability.
  • We assign relationship managers and counselors for problem-solving. All interactions are documented with case management tools and included in monthly district reports.
  • We provide a program administrator and focal point for parents and students to voice concerns and needs.
  • We continue community events throughout the year.

R= Retain

A= Activate

R= Retain

We believe the most successful method to retain students and reduce their risk of dropping out is to show them that you care about them through supportive, non-punitive, and consistent interactions where expectations are clear and the relationships build accountability.

  • We utilize a family engagement approach to keep the family structure involved.
  • We use a systemic approach by assigning graduation coaches 2x minimum weekly interactions, including attendance, academic, and social-emotional supports.
  • We express and maintain program and coach availability for concerns and needs.
  • All contacts by coaches are documented in management tools and reported to compliance officers weekly.
  • Compliance reports can be sent to guardians/parents.

A= Activate

R= Retain

  • If students cannot be contacted or exhibit problems in attendance, academics, or SEL, coaches refer the student to the relationship management team who will communicate directly with parents. After obtaining further information, Teach Tech U staff will refer all findings to base school support teams.
  • We connect students to district mentors and tutors for individualized instruction.
  • We support and foster service learning environments within the community to inspire student participation and increase student visibility and accountability.

Durham company helping to find thousands of 'missing' students

(excerpt)

By Kyleigh Panetta, Durham PUBLISHED 7:00 PM ET Feb. 13, 2023

DURHAM, N.C. — There are about 12,000 missing students in North Carolina, according to a recent analysis of data from 2019 to 2022 by The Associated Press and a Stanford University Project.

The students are described as “missing” because they aren’t showing up for school, but they haven’t moved or switched to home school or private school either. So where are they and what’s being done to get them back in class?

What You Need To Know

  • According to a recent analysis, there are about 12,000 missing students in North Carolina
  • The students are classified as “missing” when they have about six unexplained absences from school
  • The absences may be due to lack of transportation, a student working a job to support their family or a caretaker’s challenging job schedule
  • One Durham company, Teach Tech U, is helping school districts find and reconnect missing students

“After the pandemic, I think it's very clear that we have lost some of the students, and we have to make sure that we do the effort to bring them back,” Hope Davis, the founder and chief technology officer of Teach Tech U, said. “The school districts are so overwhelmed that they need assistance and sometimes the students can fall through the cracks, because not because they're not doing their job, but because it's just overwhelming.”

For the past two years, Davis and her team have been helping school districts including Winston-Salem/Forsyth County find students that aren’t showing up for class. Many of the students classified as “missing” have about six unexplained absences.
